Records Office

Welcome to the Special Services Records Office page. We are here to support you with registering students with special needs and obtaining records for our students with special needs.

All original documents for students' Individualized Programs are filed in our records room. All parents/guardians, or adult students must present a photo ID in order to obtain copies of student files. Additionally, the parent/guardian must be verified through our Student Information System (or in the case of foster care, written proof of guardianship AND photo ID must be provided).

Records requests are received Monday through Friday from 8:00-4:30 pm. Once the Secretary receives requests, it may take up to 48 hours to complete the request. A typical packet of records sent consists of:
  • Ancillary Evaluations
  • Current Individualized Education Program
  • Determination of Eligibility
  • Multidisciplinary/Psycho-educational Evaluation

Other school districts can request student records. These requests must be on official school letterhead in order to process the request.

All parents of students in special education are required to register their child at Special Services before enrolling at their school site.

A temporary registration form is given to the parents to submit to the student's school site as part of the enrollment process. Parents are encouraged to bring all Individualized Education Program documents and evaluation reports when registering their child at Special Services.

Students' Special Education records are expunged five (5) years after a student has graduated from Los Lunas Schools. This summer, the records of students who graduated in the 2014-2015  school year will be expunged. If you are a parent of student and need a copy of your student's special education records for any reason, e.g., Social Security benefits, please contact our secretary's in the Records Office.

Special Services Records Office continues to provide records during the school closure.  Please email our secretaries for records requests. We will continue to ask that parents/guardians provide a copy of their photo ID when requesting records. School districts or charter schools will be provided requests when a request is received with the district/charter school letterhead on the request. Our department will provide records electronically. There is a 24 hour turnaround time after requests are received.
